VisioLab is growing fast, and our Osnabrück headquarters is the beating heart of the company. We need an Office Manager who takes ownership of the physical space, the day-to-day operations, and the small (and big) things that make a workplace feel like home for a high-performing team.
This isn’t about ordering pens. It’s about creating an environment where people do their best work.
Own the daily operations of the Osnabrück office: facilities, supplies, vendors, and logistics
Coordinate onboarding logistics for new hires: equipment, workspace, and first-day experience
Organize team events, offsites, and company culture initiatives
Manage relationships with external vendors, landlords, and service providers
Support the leadership team with travel arrangements, scheduling, and administrative tasks
Be the go-to person who solves problems before anyone else notices them
2+ years in office management, executive assistance, or operations coordination
Outstanding organizational skills - nothing falls through the cracks on your watch
A proactive mindset: you anticipate needs, you don’t wait for requests
Strong communication in German and English
Comfort with tools: Google Workspace, Slack, project management software
A warm, positive energy that makes people feel welcome
